Before you request a quote

Marine pump overhaul RFQ checklist for procurement teams

A useful request for quotation makes the required scope explicit and gives suppliers a place to declare what they cannot confirm. This checklist organizes the request; it does not select or certify replacement parts.

Identify the equipment and the evidence

Provide the pump maker, model, serial number and applicable drawing or parts-list revision where available. Include the relevant item references and approved technical documents. If an identifier cannot be read or verified, mark it as unknown and request clarification before ordering. A photograph alone should not be treated as a complete specification.

Have a qualified person provide the operating conditions and compatibility requirements that matter for the equipment. Do not guess a material, clearance, seal arrangement or duty from a similar-looking pump. This guide intentionally does not prescribe those technical selections.

Define the requested items and quantities

List each required component separately, even when you also request a kit price. For each component, show the buyer’s line number, part identifier, description, required quantity and purchasing unit. Ask what a “set,” “pair” or “kit” contains. State whether the quantity is for one pump or the complete overhaul job.

Ask the supplier to itemize included and excluded components. A description such as “complete overhaul kit” is not enough to establish whether sleeves, fasteners, gaskets, tools or installation services are included. Treat those as questions, not as automatically required components for every pump.

Give alternatives their own space

Request the maker and part number being offered, rather than only a repeat of your requested identifier. Ask the supplier to identify every proposed deviation and provide supporting technical documentation. Keep the original requested item and the proposed alternative separately identifiable.

If the supplier cannot confirm a requirement, ask them to write “unconfirmed.” Your responsible technical reviewer can then assess the evidence. Procurement price comparison should not be used as a substitute for that acceptance.

Request commercial terms in a consistent format

For a QuoteLens comparison, request USD unit prices, quoted quantities and units, an explicit tax amount when known, delivery charges, quotation validity, payment terms and exclusions. Do not ask the supplier to conceal a non-USD offer by changing its currency label. If it cannot offer USD, retain that limitation outside the current tool.

Ask what starts the lead-time clock: purchase order, advance receipt, drawing approval or another event. Ask whether the period covers manufacture, dispatch or arrival at your named destination, and whether it uses working or calendar days. Request warranty duration, start event, scope and the document containing the detailed conditions.

Make the response auditable

Provide a response table with a column for each requested line and a separate deviations section. Require quotation date and revision. Ask for a revised quotation when clarifications change the scope or price; save its link to the earlier version in your own records.

The downloadable template is a starting point for this process. Remove irrelevant fields and have the responsible buyer and technical reviewer check it before issue. It is not an engineering specification or a purchase contract.
